GOOD AGREEMENTS, ON REPEAT

Set up the document once. Make it yours every time.

Turn the agreements you send regularly into reusable starting points. Keep the document, signing roles and field layout together, then add the right people for the next send.

01

Reusable field layouts

Save placed fields with the document instead of positioning them for every agreement.

02

Named signing roles

Use roles such as Customer and Supplier, then assign the people involved in each send.

03

Your wording, your review

Use your own document or adapt a starter from the built-in library.

01

Spend less time rebuilding the same document

A repeat agreement usually changes people more often than it changes structure. TrustInk templates store a document with named signer roles and can retain the fields assigned to those roles. When preparing the next agreement, select the template and supply the current recipients rather than reconstructing the setup.

You can create a starting template from the Templates area, or save an agreement from the document editor after placing its fields. The latter keeps the field layout as well as the document. This is useful for supplier onboarding, confidentiality agreements and other recurring documents your organisation has already reviewed.

02

Make responsibility clear before you send

Name the roles for the people who need to sign, then place each signature, date or information field against the appropriate role. When the template is used, those roles become the recipients for that agreement. The next customer should receive their own document, with their own signing activity and completion record.

Before sending, check that every role is assigned, the wording is current and the fields match the document. A saved layout removes repeated preparation work; the final review still belongs to your team. Where the agreement needs more discussion, save the prepared envelope as a draft and resume it later.

03

A practical starting point for repeat processes

The built-in starter library includes common document structures, including confidentiality agreements, with named roles and pre-placed signing fields. Use a starter to understand the workflow and adapt the terms to the actual relationship. A library document is a starting point for your review, not an assurance that its terms fit every transaction.

Templates also connect to the developer API. On a plan with API access, your integration can create an envelope from a saved template and assign the recipients programmatically. For a self-service link that creates one new agreement per visitor, use a suitable single-recipient template with PowerForms.

Common questions

What does a template save?

A template contains the document and named roles. Saving from the editor also preserves the placed fields and their role assignments. Recipients are supplied when preparing an individual agreement.

Can I upload my own documents?

Yes. Start with a PDF or a supported office or text document converted to PDF. Review the converted result and field positions before saving or sending it.

Can templates power an automated workflow?

Yes. The API can create envelopes from saved templates on Business and Unlimited plans. Sending still depends on your sending allowance and verified domain. PowerForms are suited to one recipient per submission.
