THE RIGHT PEOPLE. THE NEXT STEP.

Keep agreements moving, without losing the detail.

A signing workflow should reflect how your business works. Choose who signs, when they can act and how you follow up, with one place to see the agreement’s progress.

Start your workflow
01

Sequential or parallel

Route the document in order, or let recipients sign independently.

02

Reminders and deadlines

Set the reminder interval and an expiry date appropriate to the agreement.

03

Progress you can follow

See recipient viewing and signing status in the envelope workspace.

01

Choose the sequence that fits the agreement

Use sequential signing when a document needs to reach one person before the next: for example, a customer signature followed by your organisation’s countersignature. TrustInk activates the first recipient and moves the request onwards after signing. Later recipients cannot sign before their turn.

Use parallel signing when the parties can act independently. Each recipient receives their own link and assigned fields, and the envelope completes when everyone has signed. Decide the routing while preparing the document, alongside the names, email addresses and role labels that make each person’s responsibility clear.

02

Follow up with context

Set a reminder interval for unsigned recipients and an expiry date when the agreement should no longer be available to sign. A deadline is useful when an offer has a defined validity period. Turning reminders off is also an option if your team prefers to manage the conversation directly.

The envelope view shows each recipient’s status, including viewing and signing timestamps where recorded. This helps your team distinguish a document that has not been opened from one that is awaiting a decision. If a recipient declines, that is a different outcome from completion and should prompt a conversation about the agreement.

03

Handle preparation and corrections deliberately

Save an unsent agreement as a draft while you gather the final details, then reopen it to edit the file, recipients, fields and delivery settings. TrustInk checks for a changed draft before sending from the editor, helping teams avoid sending an older version after another edit.

For an unsigned recipient on an active envelope, the sender can correct the recipient details. The signing link is rotated and the correction is recorded in the audit history. If the agreement itself is no longer appropriate, void an eligible envelope and prepare the replacement deliberately instead of treating a changed document as the same request.

04

Connect completion to the next piece of work

When an agreement completes, TrustInk creates the signed PDF and notifies the parties. A configured Slack connection can notify your team about sent and completed envelopes. Plans with API access also support webhooks so your own system can react to signing events and retrieve the resulting document.

Live sending requires a verified sending domain and available plan capacity. Review those settings before introducing the workflow to customers, and test the full path with a representative document and recipient sequence.

Common questions

Can everyone sign at the same time?

Yes. Choose parallel signing to let recipients sign independently. Choose sequential signing when a later recipient must wait for an earlier signature.

Can I change an unsigned recipient’s details?

The sender can correct an eligible unsigned recipient. TrustInk rotates the signing link and records the correction. This is separate from editing the content of an already-sent agreement.
